Manage Software Assets

This article explains how you can manage your software assets and inventory
from PyraCloud.

In order to access your Software Assets, click on “Inventory” then “Software Assets” on the menu as shown below:

Software Assets

On the Software Assets page, your software asset inventory list can be filtered and sorted by either entering your PO number or Reference Number in the Reference search box, or filtering by the Publisher, Product Family, License Model, Category, Document Type, Currency, Order Confirmation Number or Source.

You also have the option to enter the Document Dates and whether or not you would like to show Subscriptions.

Software Assets Tab

Once you define your filters, click on “Search” and you will see your software assets listed on the page under the Software Assets tab. The Software Assets tab shows all active software subscriptions and current spend.

Note: The Software Assets tab filters out past payments and only shows you current transactions.

Financial Transactions Tab

In the Financial Transactions Tab you can see your entire spend across all software, including Subscriptions.

Customizing Columns

You can customize the columns in the Software Assets and Financial Transactions tabs as per your requirement, making it easy to only display the information you are interested in.

Simply click on “Customize” and check or un-check the column options you would like to display or hide.

Change Column Order – To change the order of columns, just click on the column header and drag it to a new postion.

Adjust Column Width – You can also adjust the column width by clicking on the column boarder and dragging it to your preferred width.

Disable Row Click – You can also disable the row click action for each grid. This allows you to highlight and copy the information in the rows without actually opening up the details page when clicking on the row. You have the option to have this enabled or disabled per grid.

Exports

You can use the Export option in the top right of the page to export your software asset inventory list in a number of formats. These export templates allow you to quickly and easily export software asset data in the most commonly configured format (column namings/order) for a number of SAM tools such as:

  • Aspera SmartTrack 2.8
  • Miss Marple
  • Snow
  • Flexera
  • Service Now

Please be aware that dependent on your respective SAM Tool setup, amendments to the standard reporting templates may be required! You can learn more about Reporting Templates in this knowledge article.

From the Exports dropdown, you also have the following options:

  • Export a Assets Default template in CSV and XLSX format
  • Export a Financial Statement template in CSV and XLSX format
  • Export your Customer License Statement in XLSX format

You will also see a link called “Go to My Reports”. This link will take you directly to your Generated Reports page.

You can also navigate directly to your scheduled reports where you can view existing scheduled reports or create new scheduled reports by clicking on the “Create/Schedule Reports” link.

Imports

If you want to have Items and Contracts available in PyraCloud that have not been purchased through SoftwareONE, please reach out to us and enquire about our Entitlement Management Services.

If you want to be more hands-on and do the import as self-service, you can use our Import Templates.

Import Templates

Click “download” next to the template you require below:

Fill in the required data in these templates.

Send the file to your SoftwareONE Account Manager by email.

SoftwareONE will then validate the data in the Excel template and will contact you if they need any further information.

After the data has been validated, it will be uploaded and made available to you for reporting purposes.

Please be aware that dependent on data volume this might require some processing time.
